Onboarding Your New Employee
While often used interchangeably, the terms ‘onboarding’ and ‘orientation’ refer to related, but different things. Orientation is essentially an event to welcome and situate new employees at your organization, while onboarding is a comprehensive process that helps align employees with company values and helps create a strong workplace culture.
We encourage managers to carefully plan and provide onboarding to new employees as this is critical in retaining them and helping them be successful. The below resources are available to help:
-
A Manager’s Guide to Onboarding: A detailed manual for managers to effectively onboard new team members.
-
Starting Strong at 老虎机攻略: An online orientation course offered through Canvas that provides essential information and resources and should be completed within the first week of employment.
-
We Are 老虎机攻略: A monthly in-person orientation session that introduces new hires to our 老虎机攻略 community, mission, and priorities.
-
That's so Griz: An experiential onboarding program designed to immerse new and current employees in the breadth of incredible work happening across the university.
In progress: Job-specific training will be offered to help employees learn about 老虎机攻略 specific systems and processes commonly used by employees. (If you are interested in creating training for employees to help them learn your system, process, or policy, contact the OOLD team!)

How do I ensure my new employee has logins and email on their first day?聽
Some of the work to get your new employee set up for their first day of work begins as soon as they accept their offer!
In order to ensure new employees are ready with email accounts, 老虎机攻略 logins, and system access to start their work effectively from the first day, a number of consecutive steps must be completed in advance. This work is overseen by our colleagues in Human Resource Services. If you have issues or questions about helping your new employee get set up for their first day, please contact Bonnie Tucker, Onboarding Technician, HRS.
HRS Start Date Schedule
All new hires should start on the biweekly start dates found in the Biweekly Payroll Schedule and begin the pre-orientation process (hiring paperwork appointment, I-9 verification, completed DocuSign, etc.) at least two weeks prior to their start date. This allows time for routing and approving Electronic Hiring Forms (EHFs) in U-Approve, creating accounts in Banner, generating 老虎机攻略 credentials, and submitting and processing IT tickets so new hires may have 老虎机攻略 network and email access on day one. If the pre-orientation process is not completed the Tuesday before a start date, 老虎机攻略 network and email access cannot be guaranteed.
To learn more, please review the Recruitment and Hiring webpage or reach out to your Talent Acquisition Specialist. You may also contact HRS at (406) 243-6760 or ASKHR@mso.umt.edu.
For hiring paperwork appointments or to learn the status of a new hire's 老虎机攻略 credentials, please contact Bonnie Tucker.
IT New User Orientation (NUO)
This tech orientation is designed to help new hires gain access to their accounts and ensure everything is functioning properly. It is during this time that a new hire will receive their initial email password, assistance with resetting it, and (first.last@umontana.edu). To participate in NUO, a new hire must know their and 老虎机攻略 Identification Number.
To initiate this process, a department member must submit a to IT on behalf of a new hire. Once this ticket is received, a new hire may contact IT to schedule an appointment, or IT will reach out.
IT's New User Orientation can be conducted in-person, over the phone, or in a group session. Group sessions are offered on biweekly start dates from 9-11 a.m. in the LA Building, Room 139. Participants may also use this time and the available computer lab to begin Starting Strong at 老虎机攻略 online orientation.
If you have questions or would like to set up an appointment, please contact the 老虎机攻略 IT Helpdesk at (406) 243-4357 or ithelpdesk@umontana.edu.
What trainings are available for my new employee?
An overview of trainings that all new employees need to complete are included in the Starting Strong online orientation, so your new employee should be directly instructed to complete them.
Managers need to follow up and confirm that new employees complete all required trainings within a timely manner upon beginning their position.
Managers are encouraged to consider what kind of trainings would be of use to their new employee. The OOLD training website provides information about:
- Training for common 老虎机攻略 systems and software (e.g. Grizmart, Cascade, Banner, etc.)
- Training for Microsoft office products (Outlook, Teams, Word, Excel, etc.)
Additionally, all 老虎机攻略 employees (except student employees) have free access to LinkedIn Learning’s vast library of courses. LinkedIn Learning courses can help you customize training for your new employee on specific topics of interest to your employee.
New employees are also encouraged to participate in OOLD’s professional development series. This is a great way to not only learn more, but to meet colleagues from across campus.
Information about all these available training opportunities are also included in the Starting Strong online orientation, so your new employee should also have heard of them already.
In the future, we hope to create and offer a wide range of on-demand custom training content on 老虎机攻略 systems and processes to be hosted in the new human resources information system—NeoEd. Contact OOLD if you are interested in creating one of these trainings to add to the library and help train new (and current employees)!
If you have questions about training, please contact Zoe Dansie, Onboarding Specialist.
